CTA Org Admin - Month Closing Review

All time off requests in Campus Time & Attendance must be submitted and ‘actioned’ (Approved, Refused, or Cancelled) no later than the end of the month following the month in which the time is taken. After this deadline, the month will be closed (signed off) by Payroll.  Employees and approvers will no longer be able to submit or action time off requests for the closed period.  Supervisors and HR Organization Administrations should review CTA for any outstanding requests and take appropriate action prior to the period close.


This document explains several ways to easily find outstanding requests in the closing period and take action on them.

Control Center


From the Campus Time & Attendance homepage, click on Employee Requests.



In the Control Center, click on the Refine icon.



Select the Filter tab and choose Start Date.  Use the filter option ‘Greater Than or Equal To (>=)’ and set to the first day of the closing month.  Hit Done when complete.



Next, choose End Date and select the filter option ‘Less Than or Equal to (<=)’.  Set to the last day of the closing month and hit Done.  Apply the selections.



Time off requests within the selected timeframe only will be displayed.   The Control Center view defaults to requests that require action only (Submitted, Cancel Submitted, and Pending) in descending order. Sort order can be changed using the Refine function.



Use the action buttons in the upper right corner to fully action each request (Approve, Refuse, or Cancel).



Schedule Planner


Access the Schedule Planner by opening the Main (hamburger) Menu, opening Schedule and selecting Schedule Planner.   This method will display all employees in the selected Hyperfind, even those without time off requests in the selected period.



Open the Calendar to select the desired timeframe and change the Hyperfind filter to 'All Monthly'.

HR Organization Administrators should change the Hyperfind filter from ‘My Direct Reports’ to ‘All Monthly’ to perform a full review prior to the period close.  




Be sure to select each week for review.



Select Gantt View to include hours within the date headings, if desired.


 

To take action on a time off request from the Schedule Planner, right-click on the request bar and select an action from the pop-up menu. All Submitted, Pending, and Cancel Submitted requests must be actioned prior to the period close.  



If multiple requests are present on the same day, the duplicate should be cancelled.  This situation can occur when multiple requests are submitted for the same day, or a range of days, prior to any one of the requests being approved.  



The system generates an error message to the submitter if a request is made for a day that has an existing Approved time off request.



Dataview Library


Using a dataview to find outstanding time off requests allows you to select only employees who have existing requests that require action.  From the dataview, you can navigate directly to the Schedule Planner and take action on the selected requests.


From the main menu, open Dataviews & Reports and select Dataview Library.  



Under the Scheduling section, select the dataview named ‘UAB Unapproved Time Off Requests’.

 


Select the date range for the closing month.  This dataview defaults to the ‘All Monthly’ Hyperfind filter. Optional Hyperfinds are available to select monthly employees by last names A – H, I – R, and S – Z.



The dataview will display the unactioned time off requests only for the selected date range.



Export or print dataviews using the Share function in the upper right corner



or by selecting the Download option in the bottom right corner. 

  


To take action on the displayed requests, select all records using the Select All functions at the top of the dataview or select individual records.



Right-click on any selected record, open the Go To menu and select Schedule.



Follow the steps described in the Schedule Planner section of this document to action requests.
